1. Information We Collect

When our system is connected to QuickBooks Online, we may access information necessary to provide invoice, billing, accounting, and payment-related functionality.

Depending on the features being used and the permissions authorized through QuickBooks, this information may include:

• Customer names and contact information
• Invoice and statement numbers
• Invoice dates and due dates
• Invoice balances and payment status
• Transaction and payment-related information
• Business and accounting information required to identify or process an invoice
• QuickBooks company identifiers and authorization information required to maintain the integration

We only access QuickBooks information required for the functionality provided by Proscribe Legal.

2. QuickBooks Online Integration

Proscribe Legal may connect to QuickBooks Online using Intuit's official APIs and OAuth authorization process.

A QuickBooks administrator must authorize the connection before our system can access QuickBooks data.

Proscribe Legal uses this connection to support functions such as retrieving invoice information, displaying amounts due, recording or confirming payments, and keeping relevant billing information synchronized with QuickBooks.

Access is limited to the permissions granted when the QuickBooks connection is authorized.

3. How We Use Information

Information obtained through QuickBooks Online may be used to:

• Identify and retrieve customer invoices
• Display invoice balances and payment information
• Facilitate invoice payments
• Confirm whether an invoice has been paid
• Record or synchronize applicable payment information with QuickBooks
• Maintain accurate billing and accounting records
• Troubleshoot and maintain the QuickBooks integration
• Prevent fraud, misuse, and unauthorized transactions
• Comply with applicable legal and accounting requirements

We do not use QuickBooks information for unrelated advertising or sell QuickBooks-derived information to third parties.

4. Payment Information

When payments are processed through QuickBooks Payments, Intuit, or another configured payment provider, payment information may be transmitted directly to that provider for processing.

Proscribe Legal does not intentionally store full credit card numbers, bank account credentials, or other complete payment credentials on its own servers unless specifically required by a payment service and handled in accordance with the applicable security requirements.

Payment processing providers maintain their own privacy and security practices.

5. Sharing of Information

We do not sell or rent personal information obtained through QuickBooks.

Information may be shared only when reasonably necessary with:

• Intuit and QuickBooks services used to provide the integration
• Payment processors used to complete requested transactions
• Hosting, infrastructure, security, or technical service providers supporting the operation of our services
• Government authorities or other parties when required by applicable law, regulation, subpoena, court order, or other lawful process

Service providers are expected to use information only for the purposes necessary to provide their services.

6. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction.

QuickBooks authorization credentials and access tokens are handled securely and are used only to communicate with authorized Intuit services.

No internet-based system can be guaranteed to be completely secure, and we cannot guarantee absolute security.

7. Data Retention

We retain information only for as long as reasonably necessary to provide our services, maintain required accounting and business records, resolve disputes, comply with legal obligations, and protect the security of our systems.

QuickBooks access credentials are no longer used after the applicable QuickBooks connection is disconnected or authorization is revoked.

Some transaction or accounting records may need to be retained where required for legitimate business, legal, tax, or accounting purposes.

8. Disconnecting QuickBooks

An authorized QuickBooks administrator may disconnect or revoke the Proscribe Legal integration through QuickBooks.

Once access is revoked, Proscribe Legal will no longer be able to retrieve new information from the connected QuickBooks company through that authorization.

Previously created business or transaction records may be retained when reasonably required for accounting, legal, security, or recordkeeping purposes.

9. Your Choices

You may contact us regarding personal information associated with our services, including requests concerning access, correction, or deletion where applicable.

Certain accounting, transaction, or legal records may need to be retained even after a deletion request.

10. Third-Party Services

QuickBooks and related Intuit services are operated by Intuit Inc. Your use of QuickBooks is also subject to Intuit's own terms, privacy policies, and security practices.

Proscribe Legal is not responsible for the privacy practices of third-party services.

11. Changes to This Privacy Policy

We may update this Privacy Policy as our services, integration capabilities, or legal requirements change.

The latest version will be published on this page with an updated “Last Updated” date.
