Understand the Hybrid Setup
A hybrid deposition has some participants together in a physical room and others joining remotely. The challenge is making both groups feel like they are in the same proceeding, on one clean record.
Success depends on planning who sits where, how everyone connects, and how audio and video reach the reporter without gaps or overlap.
Map the Participants
Before anything else, decide where each person will be. The witness location often drives the rest of the plan, since the reporter and videographer usually need to be positioned relative to the witness.
- Who is in the physical conference room
- Who is joining remotely and from where
- Where the witness will appear
- Where the reporter and videographer will be
Reporter and Videographer Placement
Confirm whether the reporter attends in person or remotely, and the same for the videographer. Their placement affects camera framing, microphone coverage, and how the record is captured.
Coordinate the Technology
Choose one platform and one host responsible for admitting participants and managing the meeting. A single point of control prevents duplicate links and confusion at the start.
Audio deserves particular attention in a mixed room. Multiple open microphones in the same space cause echo, so plan a room microphone setup that captures in-person speakers cleanly for remote attendees and the reporter.
- Select the platform and confirm the host
- Distribute a single set of credentials
- Plan room audio to avoid echo and feedback
- Position cameras so remote parties can see the witness
Rehearse and Prepare for Failure
Test the full arrangement before the deposition, with the actual room, equipment, and connections in place. A rehearsal surfaces audio and framing problems while there is still time to fix them.
Have a fallback ready in case a remote participant drops. Keep a dial-in option and a secondary connection available, and agree on how the group will pause and resume if the technology falters.
- Full technical rehearsal in the actual room
- Dial-in backup for remote attendees
- A secondary internet connection on hand
- An agreed plan for interruptions
